Music Booster’s General Board Meeting

September 29, 2016  7:00 pm

Attendees:  Suzanne Conard, June Dwyer, Teri Gregory, Sandy Kaiser, Blair Livesay, Susanne McLennan, Sarah Minick, Marnea Shamblen

Welcome

Instrumental Music Director Report; Gerald Cavanaugh

  • Cavanaugh was unable to attend; Sarah reported out for him, reminding everyone of upcoming events

Executive Board Reports:

President; Sarah Minick

  • Updated all on the plan for Senior Recognition Night on September 30th
    • Senior parents were invited to the pre-game dinner
    • Flowers and programs of the event were given to the parents (extras in band room)
    • Seniors/Parents/significant others were announced and recognized before the game
  • The Edgewater Giant can no longer paint flowers blue for South River events. Sarah bought paint for us to use whenever we have to order carnations
  • Reminder: All County Forms are due to Mr. Cavanaugh by October 7th
  • BSO Forms deadline has been extended

Vice President; Lisa Niemann – No report

Treasurer’s Report; Dianna Murray

  • The Boosters received a check for $1264.38. from the RenFest folks for working the soda stand on August 28th
  • Student accounts: When student graduates or leaves band any monies earned can be transferred to sibling
  • Money in student account earned from sales, etc. cannot be returned to student, if not used it will go into the booster general fund

  • Reviewed meeting minutes from June 9; approved as final
  • Reviewed outstanding Action Items from June Meeting:
    • Get Website up and running for new school year (Gregory/Valentine) OPEN
    • Get Mail Chimp up and running for new school year (Gregory) CLOSED
    • Fill Volunteer Coordinator position (Board) OPEN- Add to website
    • Update status of 501(c)(3) investigation (Minick, Valentine) CLOSED
    • Schedule Exhibition Planning Meetings for the summer (Conard) CLOSED
    • Reach out to middle schools for volunteering and generating interest in band (youth delegates Neimann/Conard/Quick/Valentine)
      • Central Middle CLOSED
      • Crofton Middle OPEN
      • STEM Feeder OPEN
    • Suzanne will follow-up on open items

  • Reminder to all to use Sign-up Genius to volunteer for events
  • All band events, including those which were tentative, have been updated and sent to parents via email

Fundraising; June Dwyer

  • Green Turtle; Thursday, October 6
    • Carry out and dine-in
    • Must have flyer
    • 20% goes back to Booster Fund
  • All American Steakhouse; October 24
    • Tri-M will provide music
  • Mixed-Bags; Now through October 14
    • Return of 45% from catalog orders; 40% from online (year round)
    • 50% goes to booster fund; 50% to student account
    • Catalog orders in time for Christmas
  • Yankee Candle; November 4 through November 25
    • Orders in time for Christmas
    • Return of 50% from orders
    • 50% to Booster Fund; 50% to student account
  • Possible Chipotle Fundraiser in November
  • Yard Sale in May; start setting aside items now

 Uniforms; Peggy Gunde, Sheryl Weimann – No report

 Spring Trip; Sarah Minick

  • Meyers denied permission for the spring trip cruise to the Bahamas
  • 2017 Spring trip will be to Nashville, TN (Performing Arts of Nashville)
  • Bus from SR to leave 5:00 pm April 6
    • Friday, April 7
      • Perform in the morning
      • Tour of RCA Recording Studio; record with professional engineers
      • Riverboat dinner cruise
    • Saturday, April 8
      • Breakfast at Shoney’s
      • Country Music HOF or Nashville Shopping excursion
      • Tour of Hermitage (Andrew Jackson home); Awards, BBQ
      • Show at Grand Old Opry
    • Sunday, April 9
      • Return home
    • Cost is approximately $685 and includes all food, entertainment, and transportation

Volunteer Coordinator – OPEN POSITION; No report

Youth Delegate Report:  No report

Spirit Wear; Kim Quick – No report

New Business:

  • Exhibition
    • South River High School was selected to host county exhibition for 2016
    • All county high schools participate
    • October 19; Rain date (hosted elsewhere) November 7 at Arundel High School
    • Look for Sign-Up Genius for volunteer opportunities (there are many)
    • SRHS Football Boosters will open their concession stand and give us 1/3 of their profits
    • We will set up satellite food areas around the stadium for full profit; need donations!
    • County will print programs and tickets, SRHS Boosters will receive a $500 flat fee from Music and Arts in lieu of program/ticket sales.
    • We will sell souvenirs for full profit
    • Announcer: Mr. Blair
    • Brass and Ivory will set up a “medical tent” for instruments, free of charge, in the pit area
    • Local colleges were invited to set up an area within the stadium to promote their band programs.
